Pelican in the Digital Age: Client Intake Process

Each year, we conduct a review of our services and processes in order to improve the client experience and the ability of our employees to assist you efficiently. Per IRS regulations, we are required to keep some taxpayer documents on file, and in 2022 we decided to scan client documents for our records instead of keeping paper copies. This has impacted our client intake process, but only slightly. Below is the basic process for how you can expect to begin your tax appointment at Pelican.

Please arrive to your appointment 10 minutes early to facilitate our client intake process:

  1. We will check you in, take your tax documents, and offer you a Client Information Sheet for new clients, or a Annual Client Review Sheet for returning clients. Please write down any information that has changed since last year. Both of these forms can be found on our website menu under the "Resources" tab.

    1. The front desk will not take your boxes or bags of documents or receipts in anticipation of your appointment; please have your tax documents pulled out and ready for the tax preparer.

  2. If our copy of your governent-issued photo ID is past its expiration date, we will ask for your updated ID. If you do not have a driver's license or Oklahoma ID card, you can get one here. We can continue to prepare your return without your ID, but we cannot file your return until we get your new ID.

  3. We will then review your tax documents, securely scanning those documents that we are required to keep copies of. Not sure what to bring? Click here.

  4. Your documents and Client Information Sheet will be passed to your tax preparer. All of your documents will be returned to you at the end of your tax appointment.


This process will allow us to store your documents safely and securely. Cooperation with this process is essential to respecting your time, our time, and the time of our other clients.
